Co-ordinating and preparing the Lord Mayor’s appointments Press and public relations work for the Lord Mayor (in co-operation with the Public Relations Office)
Council Meetings Section: Preparing, organizing, finalising and documenting the meetings of the City Council, of its committees as well as those of the District Advisory Councils; General matters of the City Council and of the District Advisory Councils.
Civic Commitment Section: The overall coordination of civic commitment in Heidelberg is assigned to the Mayor’s Office. This means that there is a “clearing-house” for matters concerning those people involved in ‘civic commitment’ for both the City administration and organisations within the city. The Civic Commitment Section organizes also award ceremonies.
EU Section: Procuring and making available information to the City Council and to the offices of the City of Heidelberg, supporting them when establishing contacts, formulating the position of Heidelberg concerning questions of European integration, cooperating with the offices of the City of Heidelberg when they apply for EU grants, organizing local measures in connection with “European Years” fixed by the European Commission, coordinating local activities within the framework of the yearly “European Week”.
Representation and Protocol Section: The task of the Representation Section is to maintain the high international reputation of the City of Heidelberg. This includes among other things preparing and organizing receptions and events, award ceremonies, anniversaries, patronages, ceremonies for signing the Golden Book and preparing correspondence for the Lord Mayor. Every year some 7,000 people coming from the fields of science, business and tourism are guests in the Heidelberg City Hall.
Town Twinnings Section: Maintaining and coordinating the relations between Heidelberg and its twin towns of Bautzen/Germany, Cambridge/England, Kumamoto/Japan, Montpellier/France, Rehovot/Israel and Simferopol/Ukraine; supporting the work of the Friendship Associations and of “Stadtjugendring” (parent organization of all youth organizations), organizing and carrying out Citizen’s Trips, preparing and hosting delegations coming from Heidelberg’s twin towns or making arrangements for those travelling to Heidelberg’s twin towns; maintaining contacts with former Jewish residents of Heidelberg.
Office of the Foreigners' Council/Migrants' Council: Preparing, organizing, finalising and documenting the meetings of the Foreigners’ Council / Migrants’ Council and its commissions. It is the contact point for all foreign citizens of Heidelberg who look for advice.
Office of the City Youth Council: Preparing, organizing, finalising and documenting the meetings of the City Youth Council and its commissions. It is the contact point for all citizens of Heidelberg who wish to bring to the attention of the City Youth Council their problems, ideas, questions, proposals etc.
Mail Section: Delivering and collecting incoming and outgoing mail and mail service within the City Administration
